Bookkeeper – Dallas

Reporting: Reports to the Director of Administration and Finance

Summary: The Dallas Bookkeeper supports the day-to-day financial operations of the firm, ensuring that daily financial processes run smoothly and efficiently. Reliability and consistent office presence are essential to this position. This person frequently interacts with most of the law firm’s staff in a fast-paced culture and is expected to maintain a positive, professional demeanor, as well as discretion.

Duties:

Client Payments & Billing:

  • Record and manage client payments, trust deposits, and retainers in Clio, including tracking retainers and required transfers.
  • Monitor the accounting emails and field client calls and emails related to billing and payments.
  • Track and record trust disbursements, overpayments, and refunds.
  • Assist with collections, appeals, and write-offs as needed.
  • Process and link Clio payment transactions and confirm wire transfer details.

Accounts Payable & Receivable:

  • Process weekly check runs, including trust disbursements, and maintain invoice and vendor documentation.
  • Generate and distribute accounts receivable reports, payment reports, and account status reports on a regular basis.
  • Download and maintain banking, credit card, and direct deposit records.
  • Process accounts payable and support routine firm accounting and bookkeeping functions.

Budget Tracking & Reporting:

  • Accurately post and categorize daily financial transactions in QBO and assist with month-end reconciliations under supervision.
  • Budget reporting, including variances
  • Special projects as requested.

Payroll:

  • Assist with payroll and payroll processing

Expectations/Skills:

  • 3+ years bookkeeping experience.
  • Initiator and able to complete tasks in a timely manner.
  • High attention to detail and commitment to financial accuracy.
  • Strong organizational skills with ability to organize and prioritize numerous
  • Proficiency with Microsoft Office (Word, Excel, Power Point, Outlook).

Executive Assistant – Dallas

We are seeking a highly organized and proactive Executive Assistant to join our team and support our Managing Partner.

Position Summary:

We are looking for a professional, resourceful Executive Assistant to provide support for the firm’s Managing Partner. This position requires a high level of initiative, detail-orientation, discretion, and confidentiality. The candidate must represent the firm’s core values and the Managing Partner’s leadership style in all interactions. Eligible candidates must be available to work in the office Monday through Friday. This is not a remote or hybrid role.

Key Responsibilities:

Administrative Support:

  • Manage and maintain the Managing Partner’s schedules, including coordinating meetings, appointments, and travel arrangements.
  • Answer phone line for Managing Partner.
  • Prepare, proofread, and edit correspondence, expense reports and summaries, reports, presentations, and other documents as needed.
  • Handle incoming and outgoing communications, including emails and hardcopy, phone calls, and mail, with professionalism and confidentiality.
  • Monitor and manage the Managing Partner’s firm inbox, including triaging emails, providing prompt responses when necessary, and at other times sending form responses to, e.g., sales or generic vendor emails.
  • Act as gatekeeper and liaison, maintaining professional communication on behalf of the MP with internal and external stakeholders, including clients, firm attorneys, and firm leadership.
  • Anticipate the needs of the Managing Partner and proactively address administrative and operational matters.

Meeting Coordination and Project Management:

  • Coordinate and schedule meetings, including preparing agendas, materials, and meeting minutes from time to time.
  • Assist in the preparation and distribution of meeting materials and presentations.
  • Ensure that meetings run smoothly by managing logistics and troubleshooting issues that arise.
  • Project Management:
    • Assist in the planning and execution of special projects and initiatives led by the Managing Partner.
    • Track project timelines, milestones, and deliverables to ensure timely completion.
    • Conduct research and gather information as needed to support project activities.

Office Management:

  • Oversee office supply needs for MP, ensuring well-stocked with key supplies.
  • Liaise with vendors, service providers, and building management when requested.
  • Assist in organizing firm events, including client meetings, team gatherings, and other functions.
  • Client and Community Partner Relations:
    • Serve as a key point of contact for MP’s clients (as well as firm clients, from time to time) and external partners, providing exceptional responsiveness, customer service, and commitment to our core values in every interaction.
    • Maintain a professional and welcoming demeanor when interacting with clients, partners, and visitors.
  • Manage and regularly update MP’s CRM account.
  • At times organize and coordinate firm and client events, client gifts, marketing initiatives and events, and serve as a firm ambassador at events, with the latter, on rare occasions, including evening events.
  • Be proactive in suggesting positive client communications, including handwritten notes, cards, gifts, and follow up.

Personal Executive Support:

The Executive Assistant will be called upon to help with charitable and ministry-related endeavors, as well as personal tasks for the MP.

  • Coordinate personal travel, accommodations, and itinerary planning for the MP as needed.
  • Manage family-related schedules and logistics with discretion and attention to detail.
  • Assist with event planning for both professional and personal functions, including dinners, gatherings, and travel-related arrangements.
  • Handle confidential personal matters, e.g., appointments, financial paperwork, charitable donations, personal errands and vendor coordination (e.g., deliveries and gift purchases).
  • Maintain a clear separation of personal and business priorities while ensuring seamless support in both areas.
  • Serve as a trusted point of contact for the MP’s inner circle, managing communications and requests with professionalism and tact.

Confidentiality and Discretion:

The Executive Assistant will be privy to highly confidential communications, whether day-to-day client communications or high-level communications between the COO and MP, equity partners, or other matters not widely shared within firm.

  • Handle sensitive information with the utmost discretion and maintain strict confidentiality.
  • Ensure that all communications and documents are managed in accordance with firm policies and legal requirements.

Qualifications:

  • Preferred experience as an Executive Assistant or similar role, preferably in a professional services environment. Law firm experience is a plus, but not essential.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities.
  • Strong written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software and desire to learn and grow in working with our software platforms.
  • Ability to work independently and take initiative, with a proactive and problem-solving mindset.
  • High level of professionalism, integrity, and discretion in handling confidential information.
  • Strong interpersonal skills and the ability to build positive collaborative relationships with colleagues, clients, and external partners.

Education and Experience:

  • Bachelor’s degree preferred. Equivalent combination of education and professional experience will be considered.

Desired Skills or Proficiencies:

  • Some level of experience managing client relations management (CRM) software and billing/office management software will be helpful.
