Executive Assistant – Dallas

We are seeking a highly organized and proactive Executive Assistant to join our team and support our Managing Partner and Chief Operating Officer.

Position Summary:

The Executive Assistant will play a crucial role in ensuring the smooth operation of the law firm’s executive offices by providing comprehensive administrative support to the Managing Partner and Chief Operating Officer. This position requires a high level of discretion, confidentiality, and initiative.

Key Responsibilities:

Administrative Support:

  • Manage and maintain the Managing Partner’s and COO’s schedules, including coordinating meetings, appointments, and travel arrangements.
  • Answer phone lines for Managing Partner and COO.
  • Prepare and edit correspondence, expense reports and summaries, reports, presentations, and other documents as needed.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail, with professionalism and confidentiality.
  • Monitor and manage the Managing Partner’s firm inbox, including triaging emails, providing prompt responses when necessary, and at other times sending form responses to, e.g., sales or generic vendor emails.

Meeting Coordination:

  • Coordinate and schedule meetings, including preparing agendas, materials, and meeting minutes from time to time.
  • Assist in the preparation and distribution of meeting materials and presentations.
  • Ensure that meetings run smoothly by managing logistics and troubleshooting any issues that arise.
  • Project Management:
  • Assist in the planning and execution of special projects and initiatives led by the Managing Partner and/or COO.
  • Track project timelines, milestones, and deliverables to ensure timely completion.
  • Conduct research and gather information as needed to support project activities.

Office Management:

  • Oversee office supply needs for MP and COO, ensuring both are well-stocked with key supplies.
  • Liaise with vendors, service providers, and building management when requested.
  • Assist in organizing firm events, including client meetings, staff gatherings, and other functions.
  • Client and Community Partner Relations:
  • Serve as a key point of contact for MP’s clients (as well as firm clients, from time to time) and external partners, providing exceptional responsiveness, customer service, and commitment to our core values in every interaction.
  • Maintain a professional and welcoming demeanor when interacting with clients, partners, and visitors.
  • Manage and continue to update MP’s CRM account with Levitate.
  • At times organize and coordinate firm and client events, client gifts, marketing initiatives and events, and serve as firm ambassador at events, with the latter, on rare occasions, including nights.
  • Be proactive in suggesting positive client communications, including handwritten notes, cards, gifts, and follow up.

Confidentiality and Discretion:

The Executive Assistant will be privy to highly confidential communications, whether day-to-day client communications or high-level communications between the COO and MP, equity partners, or other matters not widely shared within firm.

  • Handle sensitive information with the utmost discretion and maintain strict confidentiality.
  • Ensure that all communications and documents are managed in accordance with firm policies and legal requirements.

Personal Assistance:

  • Assist the Managing Partner with scheduling personal appointments, booking reservations, researching restaurants or activities, calendaring family events, handling personal correspondence, and managing personal errands.

Qualifications:

  • Preferred experience as an Executive Assistant or similar role, preferably in a law firm or professional services environment.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple responsibilities.
  • Strong written and verbal communication skills, with attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software and desire to learn and grow in working with our software platforms.
  • Ability to work independently and take initiative, with a proactive and problem-solving mindset.
  • High level of professionalism, integrity, and discretion in handling confidential information.
  • Strong interpersonal skills and the ability to build positive collaborative relationships with colleagues, clients, and external partners.

Education and Experience:

  • Bachelor’s degree

Desired Skills or Proficiencies:

  • Experience with Clio. While experience with both are plusses, also some level of experience managing a client relations management (CRM) software and billing/office management software will be helpful.

Brown Fox is seeking an experienced, reliable, and proactive civil litigation Legal Assistant for the firm’s Dallas office. Duties and responsibilities include managing the calendars of multiple attorneys, preparing hearing and trial notebooks, handling incoming correspondence, drafting and proofreading documents, and complex litigation e-filings in state and federal courts. A general working knowledge of the rules of civil procedure and state and federal e-filing experience required, and knowledge of appellate procedure is preferred.

The ideal candidate for this position has a minimum of five years of litigation experience, strong organizational skills, advanced computer skills, ability to organize and prioritize numerous tasks, professional, works well under pressure and fosters an atmosphere of teamwork, cooperation, high integrity and exceptional ethics. Must be a productive self-starter who can anticipate needs, identify problems, and find solutions with minimal supervision. Proficiency with Microsoft Office (Word, Excel, Power Point, Outlook) required. Proficiency with Clio and NetDocs a plus, but not required.
